Swedish Medical Center Executive Assistant in Seattle, Washington

Swedish Medical Group is looking for a (1.0 FTE, Days) Executive Assistant to work at the Bank of America Building in Seattle, WA.

The Executive Assistant plays a vital role on the SMG Administration Team, demonstrating the Swedish values of patient-centered care and service, respect, caring and compassion.

In this position you will:

  • Assist in preparing complex administrative reports, contracts, rosters and statements.

  • Assist in maintenance of departmental timelines and projects.

  • Compute semi-complex calculations, and prepare special reports/analyses for review by appropriate personnel.

  • Maintain executive/manager daily calendar, coordinate and schedule meetings, conferences, interviews and appointments as necessary.

  • Receive and processes communications such as correspondence, reports and memoranda

  • Administers requests for expense reports, check requests and other budgetary/financial documents as necessary.

  • Ensure all forms of written communications (letters, faxes, memos, etc.) are accurately prepared and distributed in a timely manner.

  • Review and screen visitors and telephone calls.

  • Establish, maintain and revise record keeping and filing systems.

  • Provide professional representation of Swedish Medical Group (SMG) and designated executive/manager in all external and internal contacts.

  • Practice confidentiality guidelines based on subject matter, and adhere to HIPAA practices.

Qualifications:

Required qualifications for this position include:

  • Associates Degree or equivalent from a two-year college or technical school required

  • Minimum five years recent administrative work supporting a high level executive in a large, complex organization

  • Ability to accurately proof, edit and draft correspondence and complex reports

  • Ability to perform semi-complex calculations and monitor budgets

  • Ability to develop and maintain of record keeping and filing systems

  • Ability to utilize complex computer programs and platforms

  • Ability to analyze and problem-solve independently

  • Demonstrated commitment to high quality customer service

Preferred qualifications for this position include:

  • Bachelors degree preferred
