Swedish Medical Center Program Administrator, Residency - Surgical Residents in Seattle, Washington


Swedish Medical Center is looking for a Program Administrator, Residency (1.0 FTE, Day Shift) to work in Surgical Residents at Swedish First Hill in Seattle, WA.

Plan, organize, and coordinate administration of the residency training program, advanced fellowship training programs, and serve as administrative liaison to satellite clinics and/or participating training sites. Support the program director, faculty, fellows, and residents. This position coordinates and supports the activities of residency training and assists the Directors in meeting and maintaining all of the standards and requirements of the accrediting bodies. Assists Program Director or Manager in management of budget, tracking expenditures, and overall budget performance. Supervision of support staff is also a function of this position.

In this position you will:

  • Oversees residency department budgets and allocation of funds based upon reviews of department estimates/recommendations, familiarity with operating procedures, and cost/revenue projections. Interprets financial reports and communicate financial performance to program director. Reviews all department expenses and plans budgets with Program Director or Manager. Insures the efficient, economic, and quality performance of assigned department

  • Works with the Program Director to ensure the program meets accreditation requirements of the national Residency Review Committee (RRC) and board certification requirements of the relevant Member of Board of the American Board of Medical Specialties. Devise and implement new policies and procedures, interpret and apply rules and regulations. Independently advise applicants, residents, and faculty about program content, policies and procedures of the University, the School of Medicine, the Department of Family Medicine, and/or the RRC

  • Provides administrative support to the satellite clinics, and/or participating training sites including acting as a liaison between sites, maintaining affiliation agreements, schedules, and personnel data

  • Manages the educational functions of the residency program, including the timely dissemination of information and documentation, which is necessary for the efficient operation of the training program

  • Acts as a liaison with outside agencies such as National Residency Match Program, AAFP, ABFP, ABS, AMA, RRC, etc., as well as with outside rotation site personnel

  • Facilitates GME rotations with program director, and other parties as needed. Coordinates or assists with resident scheduling. Maintains current agreements with rotation sites, and tracks and reports resident rotations

  • Develops and facilitates activities related to the resident’s successful completion of the program and preparation for the relevant American Board of Medical Specialties exam


Required qualifications for this position include:

  • 2 years Medical Residency Program Coordinator experience

  • 3 years experience working in a medically or educationally related field

  • Transcription experience

  • Advanced knowledge of Microsoft Office programs and Residency Tracking Software. (Excel, PowerPoint, Word, Access)

  • Ability to assimilate graduate medical education program requirements

  • Ability to review financial statements and track expenditures

  • Ability to work with a diverse group of people; maintain rapport with the public and internal customers; participate as a team member

  • Typing, use of windows-based software, medical terminology, editing and grammar skills, excellent communication skills, flexibility, discretion, sensitivity, and confidentiality

Preferred qualifications for this position include:

  • Bachelor’s Degree or equivalent combination of education and experience
